1. Application

These terms apply to all bookings, whether verbal or written, and take effect once the Company accepts a booking. The Hirer is responsible for all passengers in their party. Any costs incurred during the journey due to passenger behavior or delay will be the responsibility of the Hirer.

2. Quotations

Quotes are valid for 5 days (if the booking is more than 14 days away) and subject to vehicle availability. All quotes include driver and vehicle only, unless specified. After 5 days, quotes may change, and previous quotes will be void.

3. Payment

Full payment must be made at least 14 days before the booking date unless otherwise agreed. Failure to pay may result in cancellation and loss of any payments made. Unpaid balances are still due.

4. Booking Confirmations and Amendments

It is the Customer’s responsibility to check booking confirmations. Changes must be made in writing and are only valid once confirmed by the Company. Drivers cannot accept or approve booking changes.

5. Customer Service

Complaints must be submitted in writing within 7 days of travel. Remedies or compensation are at the Company’s discretion. If unresolved, disputes may be handled via County Court. Photo evidence is required for vehicle-related complaints.

6. Additional Charges

Quoted prices exclude tolls, parking, tickets, accommodation, and driver meals unless agreed. For longer journeys requiring an extra driver, additional charges may apply. Any mid-journey changes that incur cost will be passed to the Hirer.

7. Vehicle Photographs

Photos of vehicle types may be provided on request but are for illustrative purposes only. Actual models may differ.

8. Luggage and Passenger Numbers

The Customer must provide accurate passenger and luggage numbers at booking. Changes must be communicated promptly.

9. Tickets and Attractions

IH Travels Ltd may arrange attraction tickets on your behalf. These are subject to the venue’s own terms. Refunds for closures may be partial and do not impact the vehicle hire cancellation terms.

10. Hotel Accommodation

Accommodation arranged through the Company is subject to separate terms, available upon request.

11. Cancellation by Hirer

All cancellations must be made via email. Charges:

• 21+ days: 25% of total cost

• 14+ days: 50% of total cost

• 7+ days: 75% of total cost

• Less than 7 days: 100% (no refund)

Deposit and processing fees are non-refundable. Additional services like ferry tickets are refunded only as per the supplier’s policy.

12. Cancellation by Company

If IH Travels Ltd is unable to fulfil a booking due to emergencies or vehicle issues, we will offer a full refund. We are not responsible for losses arising from such cancellations.

13. Purpose of Journey

Bookings for football matches, rallies, or festivals must be disclosed. Failure to do so may result in cancellation without refund.

14. Force Majeure

We are not liable for delays or non-performance caused by events beyond our control (e.g., weather, strikes, legal restrictions).

15. Use of Vehicle

Unless agreed in writing, the vehicle is not for exclusive use outside the agreed itinerary. Additional use or extended mileage/time may be charged.

16. Luggage & Delays

No luggage may be left onboard unless agreed. For airport pickups, 45 minutes is allowed after flight arrival. Drivers may wait a maximum of 30 minutes after the scheduled pickup.

17. Vehicle Changes

We reserve the right to subcontract or upgrade/downgrade vehicle types depending on availability. No extra charge will be applied unless the number of passengers increases.

18. Routes

Unless a specific route is agreed in advance, the route is at the Driver’s discretion. No refunds will be given based on route changes or conditions.

19. Delays & Breakdowns

We are not responsible for delays due to traffic, weather, or breakdowns. We advise you to consider travel insurance if your journey is time-sensitive.

20. Driver’s Hours

Drivers must comply with legal driving hours and rest periods. Delays caused by the Customer may result in cancellation or extra charges.

21. Property

IH Travels Ltd is not responsible for loss or damage to property left in vehicles. Lost items are held for 30 days and must be collected by arrangement.

22. Passenger Conduct

Passengers must behave respectfully. Drivers may remove unruly or intoxicated passengers. No refunds are given if a journey is terminated due to misconduct. The Hirer is liable for damages caused by passengers.

23. Alcohol, Tobacco & Drugs

Drinking alcohol on board is at the Driver’s discretion and may be legally restricted at certain events. All vehicles are smoke-free. Illegal substances are strictly prohibited.

24. Limitation of Liability

The Company’s liability is limited to the value of the booking. We are not liable for indirect losses such as missed events or lost income.

25. Animals

Only registered assistance dogs are permitted unless written permission is obtained in advance. Animals must be properly restrained.

26. Enforceability

If any clause in these Terms becomes invalid or unenforceable, the remaining provisions will remain in full effect.

27. Governing Law

These Terms are governed by the laws of England and Wales. Disputes will be subject to the exclusive jurisdiction of the English courts.
